Job Description:
The IT Portfolio Analyst will perform a variety of duties to support the inner workings of the Project Management Office. The IT Portfolio Analyst role will be responsible for providing quality operational support through the collection, analysis, and communication of information on projects and other improvement initiatives within the IT organization to facilitate prioritization and allocation of resources in alignment with organizational strategy. Management of the PMO’s Project Portfolio Management (PPM) tool and processes is essential to supporting the activities required to successfully manage project execution; and simultaneously providing Leadership visibility into project information from idea to execution to facilitate timely and accurate decision-making.
This role requires the management of the Demand/Intake processes within ServiceNow with continuous customer engagement. The IT Portfolio Analyst will be responsible for monitoring ServiceNow to support the intake of new project requests as well as maintain and report on data on existing projects. Scope may also include development, documentation, and communication of processes in support of these activities. This position will report in through the Project Management Office (PMO) and will work closely with business/IT leaders, managers, and subject matter experts across a variety of functions. Candidates for this position should demonstrate problem solving skills, organizational and time management skills, and the ability to communicate effectively. The ideal candidate will demonstrate proficiency in designing demand prioritization schemes based on business impact, level of effort, return on investment, and other metrics.
Essential Duties and Responsibilities:
The IT Portfolio Analyst role is responsible for providing quality operational support. The role requires the ability to understand and adhere to Project Management methodology and PMO processes as it relates to their duties. The IT Portfolio Analyst will be responsible for managing the ServiceNow PPM tool to:
  • Support Demand Management via monitoring and appropriate assignment of items in the Idea-Demand queue
  • Manage the intake of ideas and demand that get submitted, by reviewing and qualifying them through the demand management process
  • Manage the Demand review process, by scheduling, prioritizing, and facilitating the reviews with appropriate team members
  • Manage delivery of the prioritized demands, by guiding the team and providing timely communications to the requestors and stakeholders
  • Create relevant Metrics, KPIs; manage and report them on a regular basis
  • Analyze and manage demand related issues in a timely manner, identify/address bottlenecks that impact delivery
  • Provides reports and dashboards to provide transparency into demand backlog, trends, and current pipeline
  • Manages and is responsible for the successful completion of all Demand-related tasks
  • Support Resource Planning activities via creation and execution of Resource Plan analysis & reports to help Leads manage workloads and prioritize work across IT
  • Develop solid understanding of PPM tool and help drive out development of processes & implementation of PPM best practices
  • Work with the PMO leader to standardize practices and apply to future projects including development and distribution of guidance documents
  • Evaluate the process on a continued basis to bring in effectiveness for team and a better delivery experience for customers
  • Review ServiceNow release notes to identify new capabilities that may benefit the PMO
  • Responsible for monitoring the Time tracking process
  • Work with leaders, subject matter experts and project managers to collect key information on the business case and scope of new portfolio project requests and develop an initial assessment of the scale, business value, risk, and resource impact of requests
  • Assist in developing presentations and strategies in support of the PMO and Portfolio teams
  • Data collection, analysis and trending including developing of reports and/or dashboards
  • Reports to and consults with upper management and executives, as needed, to help drive strategic organizational and platform growth
  • Participates in special projects as required
The IT Portfolio Analyst will work closely with members of the PMO and IT to resolve operational issues with the ability to communicate key information in a timely manner. Excellent interpersonal and customer-service mindset are key factors for success.
Education/Experience/Work Environment:
  • Bachelor's Degree
  • 3 to 5+ years of prior ServiceNow experience (Demand Management, Project Portfolio Management, Resource Management)
  • Demonstrable intermediate-level proficiency with Microsoft Excel required
  • Ability to use Microsoft Office products such as Outlook, Word, and PowerPoint
  • PPM tool certifications or equivalent preferred
Preferred skills:
  • Experience with and thorough understanding of key factors that drive business value and impact
  • Experience in project and/or portfolio management processes
  • Experience with metrics and/or data reporting
  • Ability to interact and communicate effectively across multiple functions and reporting levels

Experience with –
